Pool Captains App Privacy Policy

This Privacy Policy explains how Pool Captains FL Holdings, LLC ("Pool Captains," "we," "us," or "our") handles information through the Pool Captains application (the "App"). The App is identified as "Pool Captains" in Intuit-facing app listings and connection screens. Internally, the App operates through Deckhand, Pool Captains' internal operations software.
The App is used only by Pool Captains employees and other authorized workers. It is not offered to pool-service customers or the general public. This policy covers the App and its QuickBooks connection. It does not replace any separate privacy notice that may apply to Pool Captains' pool-service customers.
1. Information the App handles
Account and authentication information. The App handles information needed to provide and secure an authorized user's portal account and login. Portal access requires a login and two-factor authentication.
QuickBooks accounting data. When the company owner connects QuickBooks, the App reads accounting data from Pool Captains' QuickBooks company account and displays it in an internal dashboard to users with the required permission. The connection is read-only. The App never writes to QuickBooks.
Connection tokens. Intuit issues connection tokens that let the App maintain the authorized connection. Pool Captains stores those tokens server-side.
The App does not store payment-card numbers or bank account numbers. Those numbers do not touch Pool Captains' servers through this integration.
2. How Pool Captains uses information
Pool Captains uses information handled through the App to authenticate authorized users and protect portal access; operate the internal dashboard and display accounting data to users with permission; and maintain the QuickBooks connection until it is disconnected.
Pool Captains does not sell information handled through the App and does not use it for advertising.
3. Access and disclosures
QuickBooks accounting data is behind a dedicated internal permission. The company owner holds that permission by default. Other authorized workers can view that data only if the owner grants the permission.
The App does not make QuickBooks accounting data available to the public or to advertisers. Intuit holds the underlying QuickBooks records and handles them under Intuit's own terms and privacy policy. Pool Captains may disclose information if required by applicable law or valid legal process.
4. Security
Pool Captains uses HTTPS; portal login and two-factor authentication; server-side encrypted storage of QuickBooks connection tokens outside source control; and SSH access limited to the company owner. No security measure can guarantee absolute security.
5. Retention
Pool Captains does not state one fixed retention period for every category of information. When the QuickBooks connection is disconnected, the App stops using the connection tokens to retrieve QuickBooks data. QuickBooks remains the system of record for the underlying accounting records.
6. Disconnecting QuickBooks
Instructions for disconnecting the App from QuickBooks are available at https://poolcaptains.com/quickbooks-disconnect.
7. User choices
An employee or authorized worker may ask Pool Captains to update portal account information or disable App access by contacting team@poolcaptains.com.
8. Children
The App is a workplace tool. It is not directed to children and is not intended for anyone under 18.
9. Changes to this policy
Pool Captains may update this policy by posting a revised version at this URL and changing the effective date.
